Saying Safe and in touch

Tournament of Minds seeks to provide the best possible care and support for its participants.  Over the past few years we have sought to ensure timely and appropriate collation and secure, restricted sharing of information about specific health and dietary requirements of its participants.

CareMonkey is a service that TOM is using where parents are in control of the information that they provide to TOM to keep their children safe when travelling or in tournament with us. The service allows parents to log on to a secure portal and update contact and medical information about children and provides a quick and mobile friendly way for facilitators and TOM to collate and meet needs as in emergencies, communicate directly with parents avoiding timely delays in finding details on paper forms, usually held by only one person and not always with them

Frequently Asked Questions

Is the CareMonkey system secure?
·       Yes, the CareMonkey system uses sophisticated security measures to keep data safe.
·       CareMonkey data can only be viewed by an authorised person with their login and password, making data more secure than paper forms
·       Parents control what information is available and can update the information and remove access at any time
·       All data stored by CareMonkey for Tournament of Minds is stored on servers in Australia (Sydney) and will never be stored outside of Australia
·       Data is backed up every hour
·       The data is encrypted which means it is protected so unauthorised parties cannot access the data and exploit it
·       There is an automatic audit trail in the system showing access and changes
·       The data in CareMonkey will never be shared with any other person or group without consent and is removed from Tournament of Minds access after the tournament

Who can see my child’s information when I fill in the profile requested by ToM?
·       Tournament directors, team facilitators and room supervisors and first aid staff.  All access requires usernames and passwords and all data is encrypted in the database.

Who else can see my child’s information?
·       Only groups or people you specifically give access to can view the information about your child. Tournament of Minds will be one of those groups

Do you keep track of who is looking at the profiles?
·       Yes, the CareMonkey system audits all users of the system at the school. It automatically tracks every occasion a care profile is viewed, by which user and when

The care profile is completed...Why am I getting email reminders?
·       You will receive email until the profile is created AND shared with Tournament of Minds

What happens when my child finishes TOM?
·       At the end of the tournament, the care profiles will be deleted or archived and not available on mobile devices anymore. You can keep the profile if you want to share with family, baby sitters, sports clubs etc., but Tournament of minds will sever the link to the profile when teams are safely home with families

Is there a cost?
·       CareMonkey is free for all parents. CareMonkey are sponsors of Tournament of Minds as they want to see children actively engaged in innovative thinking in safe and secure settings
